AI systems

A clearer system. Fewer disconnected tasks.

Before adding another AI subscription, understand how work and information move through your business. We map the gaps, choose tools that fit and build workflows your team can maintain.

01

Start with the process, not the platform

When people copy the same information between tools, chase missing details or assemble reports by hand, the visible task is only part of the problem. The handoffs, rules and ownership matter just as much.

We review a process from intake to output: where the information comes from, who handles it and what makes an answer correct. Sometimes the best improvement is a simpler process or a conventional automation, not AI.

  • Map systems, information flows and manual handoffs
  • Identify duplicate work and missing connections
  • Compare tools against the task, access needs and running costs
  • Build workflows and agents where they have a clear role
  • Document ownership, review steps and maintenance
02

Choose a stack your team can live with

We start with the tools you already pay for and check what they can do. A proposed connection needs to fit your data format, access permissions and the people who will operate it, not just look impressive in a demonstration.

Where a new tool is necessary, we explain why. We consider subscription costs, usage charges and what happens if a provider or feature changes. Accounts and documentation are set up so your business is not dependent on us for every adjustment.

03

Build in review and recovery

A workflow needs a way to handle missing inputs, uncertain answers and failed connections. We define what it can do automatically, what should stop for a person to review and who should know when something needs attention.

Access should be limited to the data needed for the task. We discuss where information goes and the settings available before using business data with a provider. If a tool cannot meet your requirements, that belongs in the decision, not in a footnote after launch.

04

Test one workflow before expanding

Choose a recurring task with a clear beginning and end. We agree on the current baseline, test the proposed workflow against real inputs and review the result with the people who will use it.

The handover covers how the workflow runs, how to review its outputs and what to do when something changes. Expansion comes after the first task works reliably, not before.

From our work

An order report became a useful call list

We built agents that read periodic order reports and flag customers who are overdue or ordering below their usual trend. Instead of asking the team to comb through a spreadsheet, the workflow produces a focused list to review. It is a concrete example of connecting existing information to the next business action.

Common questions

Will we have to replace our existing software?

We look for improvements within your current tools first. Replacement is a separate decision, with costs and trade-offs made clear.

How do you decide whether a task needs AI?

We examine the inputs and rules. Predictable steps often suit ordinary automation; unstructured information may benefit from AI with appropriate review. We do not add AI just to label a project as AI.

What happens after handover?

You receive the agreed workflow, documentation and training. If you need ongoing support or further integrations, we scope that work with you rather than assuming it is included indefinitely.
